Privacy Policy

ContractorMate provides a customer-relationship platform for contractors to manage leads, customer communication, appointments, estimates, agreements, signatures, projects, and payments. This policy explains what information we handle and why.

ContractorMate handles information about three kinds of people:

  • Account holders — contractor businesses and team members who sign in and use ContractorMate.
  • Customers and leads — people and businesses an account holder manages in its workspace. ContractorMate processes this information on the account holder's behalf and under its direction.
  • Visitors — people who visit this website or open a booking page, form, estimate, agreement, invoice, or portal shared through ContractorMate.

1. Information we collect

From account holders

  • Account and profile details such as name, email, phone number, business name, photo, and settings.
  • Authentication information such as a securely hashed password or a connected sign-in identifier.
  • Payment and subscription status from our payment provider. ContractorMate does not store full payment-card numbers.
  • Content created in the service, including messages, notes, estimates, agreements, signatures, project details, files, and call recordings or transcripts where enabled.
  • Usage and device information such as log data, IP address, browser type, and actions taken in the app.

About customers and leads

  • Identifiers such as name, phone number, email address, company, and project or mailing address.
  • Project information such as requested work, scope notes, photos, files, appointment details, budget, estimates, agreements, signatures, and payment status.
  • Communication history such as texts, emails, calls, recordings, transcripts, and notes.

From visitors to shared pages

  • Information a visitor chooses to submit, such as contact information and project details.
  • Basic technical and activity details, such as the time a page was opened, needed to operate the workflow and help the account holder follow up. Email delivery may also record delivery, opens, or link activity where enabled.

2. How we use information

  • To provide, operate, secure, support, and improve ContractorMate.
  • To send and receive calls, messages, and emails initiated by an account holder.
  • To provide connected features such as Google email and calendar, scheduling, reporting, payment processing, and AI-assisted summaries or draft messages.
  • To process payments, prevent fraud and abuse, communicate about the service, and comply with legal obligations.

We do not sell personal information, and we do not use an account holder's customer list or message contents to advertise to those customers.

3. Calls, texts, email, and consent

Account holders are responsible for having a lawful basis and any consent required to contact people through ContractorMate, and for honoring opt-outs. When a recipient replies STOP or a similar recognized keyword, the service records the opt-out and blocks further automated texts to that number. If call recording is enabled, the account holder is responsible for any notice or consent required where the caller and recipient are located.

4. Connected services and AI

Account holders may connect third-party services for email, calendar, calls, text messages, storage, payments, or other functions. Information needed to perform a requested action is sent to the connected provider. An account holder can disconnect supported integrations from its settings, subject to provider and record-retention requirements.

Some features may use AI models to summarize a customer record, suggest next steps, or draft a message for review. Relevant data may be sent to an AI provider to generate the result. AI output can be inaccurate, and account holders remain responsible for reviewing it before use.

5. How we share information

We share information only as needed to operate the service:

  • Service providers for cloud hosting and databases, telephony and messaging, email, payments, storage, analytics, customer support, and AI features.
  • Within a workspace with authorized members of the same contractor workspace.
  • Legal and safety when required by law or reasonably needed to protect the rights, safety, and security of ContractorMate, its users, or the public.
  • Business transfers in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to this policy.

6. Cookies

We use cookies and similar technologies to keep users signed in, remember preferences, protect the service, and understand how the app and website are used. Browser controls can limit cookies, although some features may stop working.

7. Data retention

We keep information while an account is active and as needed to provide the service, then for a reasonable period for legal, accounting, security, backup, and dispute-resolution purposes. Account holders can delete supported records; deleted data may remain in backups for a limited period before being overwritten.

8. Security

We use administrative, technical, and physical safeguards designed to protect information, including encryption in transit, hashed passwords, tenant access controls, and encrypted storage for supported integration credentials. No transmission or storage system can be guaranteed completely secure.

9. Choices and requests

Depending on location, a person may have rights to request access, correction, deletion, or export of personal information, or to object to or limit certain processing. Because customer information belongs to an account holder's workspace, we may direct a request about that information to the relevant contractor. We may verify identity before completing a request.

10. Children

ContractorMate is a business service and is not directed to children under 16. We do not knowingly collect personal information from children.

11. Changes

We may update this policy as the product and applicable requirements change. We will revise the last-updated date and provide additional notice when appropriate.
